Accounts Payable Coordinator

Position Summary

Primaris REIT is currently hiring a dedicated and enthusiastic Accounts Payable Coordinator to join our team at our Head Office in Toronto, ON. If you have an accounts payable background, are comfortable training internal stakeholders and thrive in a dynamic, fast-paced environment, this exciting opportunity is perfect for you!

Role

As the Accounts Payable (AP) Coordinator you are responsible for supporting the AP Manager in managing all aspects of the AP invoice review process. You will be providing training and support to Property Accountants, Admins, Administrators, and AP Clerks, ensuring efficient and accurate operations while maintaining compliance with company policies and procedures.

Process Oversight and Coordination
• Assist the AP Manager in executing all payable review processes and procedures
• Review payables processed by Corporate AP Clerks and act as Clerk backup during peak periods or absences
• Collaborate with the Corporate Financial Analyst to ensure proper coding
• Support and meet monthly AP close activity deadlines

Training and Support
• Lead training and continuous support to Property Administrators, Admins, Accountants, and AP Clerks
• Assist in preparing and distributing communications regarding changes to policies and the AP environment

Compliance and Quality Assurance
• Ensure compliance with AP policies and procedures while contributing to their development and enhancement
• Maintain ERP system accuracy by identifying and addressing common errors and tracking processing turnover
• Assist with audits, providing reports and addressing queries

Vendor and Expense Management
• Review employee expense reports to ensure timely and accurate processing
• Prepare and distribute vendor cheques and remittance advice
• Address escalated vendor and employee queries professionally and promptly

Process Improvement
• Identify opportunities for process improvement and support the implementation
• Assist in managing stale-dated and unreconciled cheques in the ERP system.
• Other ad hoc duties as assigned

Requirements

To excel in this role, we are looking for candidates who are strong communicators and highly organised. If this opportunity sounds interesting to you, you likely have the following attributes:
• College Diploma or Bachelors Degree in Accounting, Business Administration or related field
• 4-5 yrs experience in Accounts Payable or related field
• Accounts payable certification and Real Estate industry experience an asset
• Strong communication skills to be able to train internal stakeholders effectively
• High proficiency in MS Office (Word, Excel etc)
• Experience using ERP software (Yardi preferred)
• Ability to multi-task and prioritise workload
• Excellent customer service skills
• Strong analytical and organisational skills
• Bilingualism (French/English) an asset
